Version A: Confirmation of employment
[Company Letterhead]
[Date]
[Employee Full Name] [Employee ID] [Job Title], [Department]
Dear [Employee First Name],
I am pleased to confirm that you have successfully completed your probationary period as [Job Title], which began on [Start Date] and ended on [Probation End Date].
During your review on [Review Date], we discussed your progress. In particular, [specific achievement, for example: you reached the team quality target of 90% by week eight and became the go-to person on the night shift for billing questions]. Thank you for the effort you have put in during your first months.
Effective [Effective Date], the following changes apply:
- Your status changes from probationary to [regular full-time / regular part-time] employee. - [You are now eligible for [benefit, e.g. paid time off accrual / the tuition reimbursement program / internal job postings].] - [Your pay increases from [$Current Rate] to [$New Rate] per [hour / year], as set out in your offer letter.] - [Your notice period is now [X weeks], as set out in your contract.]
All other terms of your employment remain as set out in your offer letter dated [Offer Date] and in the company's policies. [For US at-will employers: Completing probation does not change the at-will nature of your employment, which means either you or the company may end the employment relationship at any time, with or without cause or notice.]
Your goals for the next [six months] are [goal 1] and [goal 2]. [Manager Name] will check in with you on these at your next review in [Month].
Congratulations, and thank you for being part of the team.
Sincerely,
[Manager Name] [Manager Title]

Version B: Extension of probation
[Company Letterhead]
[Date]
[Employee Full Name] [Employee ID] [Job Title], [Department]
Dear [Employee First Name],
Following our meeting on [Review Date], this letter confirms that your probationary period as [Job Title] will be extended by [number] [weeks / months], to [New Probation End Date]. [Your offer letter / company policy] allows for an extension of up to [maximum period].
We are extending your probation because [clear, factual reasons, for example: your average handle time remains at 11 minutes against a target of 8, and you have had three unplanned absences in the last six weeks]. We have seen progress in [area of progress], and we want to give you a fair opportunity to meet the remaining standards.
During the extension, we expect you to:
1. [Specific, measurable goal with target] 2. [Specific, measurable goal with target] 3. [Specific behavior or attendance expectation]
To support you, we will provide [additional training, coaching sessions, weekly check-ins with Manager Name, a buddy]. We will meet on [check-in dates] to review progress.
At the end of the extension we will review your performance again. If the standards above are met, we will confirm your employment in writing. If they are not met, your employment may end. [Benefits or eligibility that start after probation will begin once your probation is confirmed.]
If you have questions about this letter, please speak with me or contact [HR Contact Name] at [HR Email].
Sincerely,
[Manager Name] [Manager Title]
I acknowledge that I have received this letter and discussed it with my manager.

Checklist before sending
- Probation review completed and documented
- Effective date matches the probation end date in the offer letter or policy
- Pay, benefits and status changes confirmed with payroll and benefits
- HRIS status updated from probationary to regular
- For an extension: reasons are factual, goals are measurable, support is listed, and the extension is allowed by policy or contract
- Letter delivered in person or by video call before or with the written copy
- Signed copy filed in the personnel file
How to use this template
- Complete the probation review at least one to two weeks before the end date, so the letter can go out on time.
- Choose Version A for confirmation or Version B for an extension, and delete the version you are not using.
- Fill in every placeholder, including one specific achievement or reason, and confirm any pay or benefit change with payroll.
- Have HR check at-will language, notice terms and extension limits against the offer letter and local law.
- Tell the employee the outcome in a conversation first, then give them the letter the same day.
- Update the HRIS status and file the signed copy in the personnel file.
What the letter is for
A probation confirmation letter closes the probationary period in writing. It tells the employee they have passed, what changes now and what comes next. In many countries outside the US, the letter has contractual weight, because notice periods, protections and benefits change once probation ends. In US at-will employment it matters less legally, but it still triggers practical changes such as PTO accrual, benefits eligibility, a scheduled pay step or the right to apply for internal roles.
People also search for it as a confirmation of employment letter or end of probation letter. Do not confuse it with an employment verification letter, which confirms employment details to a third party such as a lender or landlord.
Timing
Send the letter on or just before the probation end date. A letter that arrives three weeks late leaves the employee wondering whether they passed, and in some jurisdictions, letting the end date pass without action can mean probation is treated as completed by default. Put the review on the manager's calendar at the start date, using the probation review form to structure it, so the decision is ready in time.
For high-volume roles where dozens of people hit day 90 every month, generate the confirmation letter automatically from the HRIS when the manager marks the review as passed. The manager adds one personal sentence and signs electronically. That one sentence is the difference between a letter people keep and a form letter they ignore.
When to extend instead of confirm
Extend probation only when you genuinely believe the employee can meet the standard with more time, and only if your policy or contract allows an extension. The extension letter must give factual reasons, measurable goals, the support you will provide and the new end date. A vague letter ("we need more time to assess your fit") is unfair to the employee and weak evidence if you later end employment.
If the gaps are serious and you do not expect them to close, an extension usually just delays a separation. Have the harder conversation now. Where the employee is close but not there, an extension of four to eight weeks is common; repeated extensions are a warning sign that the decision is being avoided. Our probation completion email and probation extension email templates are useful for the message that accompanies the letter.
Legal and wording notes
In the US, avoid language suggesting the employee is now "permanent" or can only be dismissed for cause, unless that is your actual policy. Courts in some states have treated such wording as changing at-will status. The optional at-will sentence in Version A addresses this; check it against your handbook and offer letter.
In the UK, India, the EU and many other countries, the end of probation often changes the notice period and dismissal procedures, and some local laws cap how long probation can last or be extended. Refer to the contract terms precisely. Apply the same standards to everyone in the same role, and keep notes from the review: if you confirm one person with an attendance problem and extend another with the same problem, you have created a discrimination risk. Rules vary by state and country.
Common mistakes
- Sending a generic letter with no reference to what the employee actually did.
- Forgetting to tell payroll and benefits, so the promised change does not happen.
- Extending probation without having had the conversation first.
- Listing goals in an extension letter that cannot be measured.
- Using the confirmation letter to announce a promotion or raise unrelated to probation. Use a separate promotion letter for that.
Frequently asked questions
What should a probation confirmation letter include?
The employee's name and role, the probation start and end dates, confirmation that probation is complete, any changes to status, pay or benefits with an effective date, a specific example of good work, goals for the next period and a statement that other terms are unchanged.
How do you write a probation extension letter?
State the new end date and the policy that allows an extension, give factual reasons, list measurable goals, describe the support you will provide and the review dates, and explain what will happen at the end of the extension.
Is a confirmation of employment letter the same as a probation confirmation letter?
Often yes, inside a company: it confirms an employee's regular status after probation. The term is also used for letters confirming employment to third parties, which is an employment verification letter.
Does passing probation change at-will employment in the US?
Not unless your policy or contract says so. Employers usually state in the letter that completing probation does not change at-will status, to avoid implying that the employee can now be dismissed only for cause.
When should an end of probation letter be sent?
On or just before the probation end date, after the review conversation. Late letters create uncertainty, and in some jurisdictions probation may be treated as passed if the end date goes by without action.
