Probation extension email

By TapTalent Editorial TeamUpdated

In short

A probation extension email tells an employee that their probationary period is being extended instead of confirmed. It names the specific gaps, the new end date, the measures that will decide the outcome and the support they will get. Below are formal, manager-led and short templates, an SMS, and guidance on wording and legal risk.

When to send it: Send it the same day as the extension conversation and before the original probation end date. An extension sent after the date has passed may not be valid under your contract or local law.

Probation extension email: 3 versions

Formal extension

SubjectExtension of your probationary period: [Job Title]

Dear [First Name],

Thank you for meeting with [Manager Name] and me on [Meeting Date]. As discussed, we are extending your probationary period as [Job Title] by [Extension Length]. Your new probation end date is [New End Date].

We have seen real progress in [Strength Area]. The extension gives you time to reach the expected standard in these areas:

1. [Gap 1 and the measure, e.g. average handle time at or below 420 seconds for four consecutive weeks]
2. [Gap 2 and the measure, e.g. no more than one unplanned absence in the extension period]

To help, we will provide [Support, e.g. weekly coaching sessions with your team lead and two side-by-side shifts with a senior agent]. You and [Manager Name] will review progress every [Review Frequency], with the first check-in on [First Check-in Date].

At the end of the extension we will either confirm your employment or end it. All other terms in your offer letter dated [Offer Date] stay the same. A copy of this letter is attached; please reply to confirm you have received it.

If you have questions, contact me directly.

Sincerely,
[Your Name]

SubjectYour probation: what happens next

Hi [First Name],

Thanks for the honest conversation today. To put it in writing: we're extending your probation by [Extension Length], to [New End Date].

I want this to work. You've done well on [Strength Area], and I think the two gaps we talked about are fixable:

- [Gap 1, with the target]
- [Gap 2, with the target]

Here's what I'll do on my side: [Support]. We'll meet every [Review Frequency] so nothing at the end comes as a surprise.

HR will send the formal letter separately. If anything in our conversation wasn't clear, tell me now rather than later.

[Manager Name]

Short, policy-driven

Check that you can extend before you write anything

An extension is only possible if your offer letter, contract or handbook says probation can be extended, and in many countries only if you act before the original end date. In the UK, India, much of Europe and the Gulf, letting the date pass without notice can mean the employee is confirmed by default, and a late extension email won't undo that. In at-will US states the legal stakes are lower, but a handbook that promises a 90-day introductory period with no extension clause still creates an expectation you should honor. Rules vary by state and country, so check yours.

A sensible limit is one extension, no longer than the original period. Extending a 90-day probation by 90 days is common; extending it twice usually means the decision has already been made and nobody wants to say it.

What the email must say

Vague extension letters are the ones that end up in disputes. Every version should include:

  • The new end date, written as a date, not "another month".
  • Two or three specific gaps, each with a measure someone outside the team could check. "Improve call quality" is not a measure; "QA score of 85% or higher on at least eight scored calls" is.
  • The support you will give: coaching, shadowing, retraining, a change of shift or a lighter queue while they catch up.
  • The review rhythm, with the first date already booked.
  • What happens at the end: confirmation or termination, stated plainly.
  • A line that all other terms stay the same.

Keep the wording in your document templates so the legal parts are identical across managers. Base it on a completed probation review form so the email matches what is in the file.

Tone: honest, not punitive

An extension is a second chance, and the employee should finish reading the email believing they can pass. Name one thing they do well before the gaps. Avoid words like "failed", "unsatisfactory" or "final warning"; this is not a disciplinary step, and calling it one changes how it is treated under your policy. Equally, don't soften it so much that the employee thinks nothing has changed.

The conversation always comes first. Never let someone find out from their inbox that they did not pass.

Extension, PIP or a clean decision

An extension suits a new hire who is close: slower to ramp than the rest of the training class, or solid on skills but shaky on attendance. If the gaps are large or the employee has already finished probation, a performance improvement plan email is the better tool. If the manager has already decided, extending only delays an outcome everyone can see coming.

When the extension ends, send the result promptly. A pass gets a probation completion email; a fail gets a meeting followed by written notice. For background on how probation works, see the glossary entry on the probationary period.

Volume hiring: track extensions as a signal

In a contact center onboarding a 30-person class every month, a handful of extensions per class is normal. A rising rate is a training or hiring problem, not an individual one. Track extensions by class, trainer and source; if one recruiting channel produces twice the extensions of the others, the screening for that channel needs work. Set a reminder for each new end date the day the extension is issued so outcomes don't slip.

Frequently asked questions

How do you write a probation extension letter?

State the new end date, list two or three specific gaps with measurable targets, describe the support you will provide, set the review schedule, explain that the outcome will be confirmation or termination, and confirm all other terms are unchanged.

Can an employer extend probation without the employee's agreement?

Only if the contract or policy allows it. Where the contract has no extension clause, you typically need the employee's written agreement. Check local law, since rules differ widely by country and state.

How long can probation be extended?

Most employers allow one extension of up to the original length, commonly 30 to 90 days. Some contracts and local laws set a maximum total probation period, so check before choosing a date.

What does probation not confirmed mean?

It means the employee has not passed probation by the end date. The employer will either extend the period, if policy allows, or end employment. The employee should receive the outcome in writing.

Should a probation extension email come from HR or the manager?

Both. The manager delivers the news in person and can follow up with a short supportive note. HR sends the formal letter because it changes the terms of employment and goes in the personnel file.
