Probation completion email

By TapTalent Editorial TeamUpdated

In short

A probation completion email tells an employee they have passed their probationary period and their employment is confirmed. It states the effective date, any changes that now apply such as benefits, notice period or pay, and recognizes what they did well. Below are formal, warm and goal-setting templates plus an SMS.

When to send it: Send it on or a few days before the probation end date, after the review conversation. Never let the date pass without a written outcome.

Don't let the end date pass quietly

The most common probation mistake is not a bad decision; it's no decision. The end date passes, nobody says anything, and the employee spends weeks wondering. In many countries, letting probation lapse without action confirms employment automatically, and in some it removes your right to extend. Even in at-will US states, where probation has less legal weight, silence sends the message that nobody was paying attention.

Set a calendar reminder for the manager two to three weeks before the end date, long enough to complete a probation review form, discuss it with HR if needed and hold the conversation. The confirmation email then goes out on or shortly before the end date.

What to include

  • A clear statement that probation is complete and the effective date of confirmation.
  • What changes now. This is the part people actually need: benefits eligibility, PTO accrual changes, a longer notice period, a pay step, eligibility for internal transfers or tuition support.
  • What stays the same, by referring to the original offer letter or contract.
  • Specific recognition: one or two examples of good work.
  • A next conversation, so confirmation feels like a step forward rather than an ending.

Attach a formal letter for the personnel file. Our probation confirmation letter can be stored in your document templates so every manager sends the same wording for the legal parts and adds their own note on top.

US vs. international practice

US employers often call this an introductory or orientation period, typically 60 to 90 days. Because most US employment is at will, passing it doesn't usually create job security, and handbooks should say so. A confirmation email that promises "permanent employment" can undermine at-will status; use "your employment is confirmed" or "you've completed your introductory period" instead. Some US employers tie benefits eligibility or union membership to the end of probation, which makes the date matter.

In the UK, India, the Gulf states, Australia and much of Europe, probation of three to six months is standard and often carries a shorter notice period that lengthens on confirmation. Many employers in India and the Middle East also issue a formal confirmation letter, and employees may need it for bank loans or visa paperwork. Rules vary by state and country, so check local requirements. See the glossary entry on the probationary period for more.

When the answer isn't a simple yes

If performance is close but not there, an extension may be fairer than a failed probation. Use a probation extension email that names the gaps, the new end date and the support offered, and only if your contract or policy allows an extension. If the decision is not to confirm, hold a meeting first and follow with a separate written notice.

Don't send a confirmation email that quietly includes conditions. If you have real concerns, either extend or confirm cleanly and set development goals, as in the third template above.

High-volume and frontline hiring

For contact centers, warehouses and retail teams hiring dozens of people a month, probation reviews pile up fast. A practical system: a shared report of upcoming probation end dates by supervisor, a short standard review checklist, and a confirmation email that HR sends in bulk once the supervisor marks each person as passed. The personal note from the supervisor can still be a two-line text or a word on the floor.

Probation completion is also a good moment to check retention signals. Pair it with a new hire check-in email or a short survey, since new hires who make it to 90 days often share more candid feedback than they would in week two.

Frequently asked questions

How do you write a probation completion email?

Confirm that probation is complete and state the effective date, list anything that changes such as benefits, notice period or pay, refer to the original offer for other terms, recognize specific contributions and attach a formal confirmation letter.

What is a probation confirmation email?

It is the written notice that an employee has passed probation and their employment is confirmed. In many countries it is a formal document the employee keeps; in the US it is often called confirmation of completing the introductory period.

Is employment automatically confirmed after probation?

In many jurisdictions and under many contracts, yes, if the employer takes no action by the end date. Check your contracts and local law, and always send a written outcome on time.

Should I use the word permanent in a confirmation of employment after probation?

In the US, avoid it. Words like permanent can be read as a promise of job security that conflicts with at-will employment. Say the employee has completed probation and their employment is confirmed.

Who should send the passed probation email?

The manager should give the news in person and send a short personal note. HR typically sends the formal confirmation letter, since it changes terms and goes in the personnel file.
