Performance review invitation email
In short
A performance review email invites an employee to their review meeting and tells them how to prepare: date, time and length, who will attend, the period being reviewed, any self-evaluation due beforehand and what the conversation will cover. Below are templates for an annual review, a mid-year check-in, a probation review and a frontline team, plus subject lines.
When to send it: Send the invitation one to two weeks before the meeting, with any self-evaluation due at least three working days before it so the manager has time to read it.

What a review invitation should set up
The invitation shapes how the employee walks into the room. A one-line calendar invite titled "Review" makes many people assume bad news. A short email that names the period, the agenda and how to prepare makes the conversation feel routine and two-way, which is what a performance review should be.
Cover:
- Date, time, length and place or video link.
- Who will attend. If HR is joining, say so and say why. An unexplained HR attendee alarms people.
- The review period and what will be discussed: goals, results, development, next period's objectives.
- Preparation: self-evaluation with a deadline, or a few prompts to think about.
- An invitation for their input, including feedback on you as a manager.
Timing and the self-evaluation
One to two weeks of notice works for annual reviews. Ask for the self-evaluation at least three working days before the meeting, so you have time to read it and adjust your own notes. Managers who read the self-assessment for the first time in the meeting usually end up having two separate monologues.
If self-evaluations are late, a short self-evaluation reminder email two days before the deadline is enough; don't let it hold up the meeting. If your process includes peer input, send the 360 feedback request email to reviewers three to four weeks before the meeting so their feedback is in before you write the review.
Review cycles at scale
In a company with 2,000 employees and an annual cycle, HR is coordinating hundreds of managers sending invitations in the same few weeks. Give managers a standard template and a calendar: invites out by a set date, self-evaluations due a week later, meetings complete within a three-week window, ratings calibrated before final sign-off. Sending invites in bulk from one email system, with each manager's name and meeting time merged in, keeps the wording consistent and lets HR see who hasn't scheduled yet.
For contact centers and other frontline teams, reviews often happen monthly or quarterly against metrics such as quality scores, adherence and handle time. Keep those invitations short, schedule them on paid time during the shift, and share the numbers beforehand so nobody is ambushed by a scorecard. Using the same performance review template for every employee in a role makes the meetings comparable.
Fairness and documentation
Invitations and the reviews that follow become part of the employment record. Use the same process, timing and criteria for everyone in the same role. Reviews that are skipped for some employees, or scheduled with very different notice, are hard to explain if a later decision on pay, promotion or termination is challenged. For non-exempt employees, time spent in a review meeting or completing a self-evaluation is working time and must be paid under the FLSA.
Tone
Neutral and collaborative. "I'd like to set aside time to look back on the year and plan the next one" sets the right tone. Do not hint at the outcome in the invite, positive or negative; save that for the conversation. If the review will include serious performance concerns, the employee should already have heard them during the year. A review should never be the first time someone learns there is a problem.
Mistakes to avoid
- Calendar invite with no context.
- Self-evaluation due the morning of the meeting.
- HR attending without explanation.
- Rescheduling repeatedly, which tells the employee their review isn't a priority.
- Different processes for different team members in the same role.
Frequently asked questions
How do I write a performance review meeting invitation?
Give the date, time, length and location, say who will attend, outline what you'll cover and explain how to prepare, including any self-evaluation and its deadline. Invite the employee to bring their own questions and feedback.
How much notice should employees get for a performance review?
One to two weeks for annual reviews, and about a week for mid-year or probation reviews. Self-evaluations should be due at least three working days before the meeting.
What is an appraisal meeting email?
It is the same as a performance review invitation, using the term common in the UK, India and some global companies. It schedules the appraisal and explains what the employee should prepare.
What should an annual review email to an employee include?
The meeting details, the review period, the agenda (goals, results, development, next year's objectives), the self-evaluation link and deadline, and a note that the meeting is a two-way conversation.
Should HR attend a performance review meeting?
Usually not for routine reviews. HR commonly joins probation decisions or reviews involving formal performance concerns. If HR is attending, tell the employee in the invitation and explain why.
