Employee departure announcement email
In short
An employee leaving announcement email tells colleagues that someone is leaving, when their last day is and who will cover their work. For resignations it can thank them warmly; for terminations it stays brief and neutral. Below are four templates for resignations, involuntary exits, client notice and a short team version, plus subject lines.
When to send it: For resignations, send it within a few days of the resignation being accepted and agreed with the employee, usually 1 to 2 weeks before the last day. For involuntary exits, send a short note on the same day or the next morning.

Agree the message with the employee first
For resignations, ask the departing employee how they'd like the news shared. Many want to tell close colleagues themselves before the email goes out. Some are happy to say where they're going; others aren't. A short conversation, then a draft they can read, avoids most of the awkwardness.
The usual sequence: accept the resignation in writing with a resignation acceptance email, agree the last day and handover plan, let the employee tell their closest colleagues, then send the team announcement. Clients get notice once the coverage plan is ready, not before.
In the final days, the employee may send their own goodbye; our last working day email covers that side.
Resignation versus termination
These are different emails, and the second one should be very short.
For a resignation or retirement, you can be warm and specific. Thank them for something real, mention where they're headed if they agreed, and invite people to a send-off.
For a termination, layoff or any involuntary exit, say only that the person no longer works there, the effective date and who is covering their work. Don't give reasons, don't hint at performance or conduct, and don't say "decided to pursue other opportunities" if that isn't true; employees see through it and it can create problems if the departure is later disputed. Statements about why someone left can raise defamation and privacy concerns, and some states have service letter laws that govern what employers say about separations. Rules vary by state, so involve HR or counsel for anything sensitive.
For group layoffs, use a separate organizational change communication. Larger reductions may also trigger notice requirements under the federal WARN Act or state equivalents.
What to include
- Name and last day.
- A coverage plan. This is the part colleagues actually need. List who handles what, from when.
- What happens to the role: backfill, redistribution or under review.
- Thanks and one concrete contribution, for voluntary departures.
- A send-off, if there is one.
- Where to direct questions.
Leave out reasons for leaving, details about the employee's next employer unless they've agreed, pay or severance, and any commentary about the circumstances.
High-volume and frontline teams
In contact centers, warehouses and retail, turnover is frequent enough that a departure email for every agent would flood inboxes. Most teams handle it differently: a short note to the immediate team or shift for frontline staff, and a full announcement only for team leads, trainers and anyone with external contacts or approvals.
Keep the coverage information current in your systems too. When a supervisor leaves, schedules, approvals and escalations need to move the same day. Sending departure notes from a shared email setup with team and site distribution lists means the right people hear about coverage changes without a manager rebuilding contact lists each time.
Mistakes to avoid
- Announcing before the employee has told close colleagues they asked to tell personally.
- Explaining an involuntary exit. Short and neutral is always the right call.
- No coverage plan. "We'll figure out next steps" leaves customers and colleagues stranded.
- Telling clients late. Clients who discover a contact has left from a bounced email lose confidence fast.
- Inconsistent tone for similar departures across teams.
Frequently asked questions
How do you announce an employee resignation to the team?
Agree the wording with the employee, then email the team with their last day, a thank-you for something specific, who will cover their work and details of any send-off. Send it 1 to 2 weeks before the last day.
How do you announce an employee termination to staff?
Keep it brief and neutral: the person no longer works there as of a date, and who is covering their responsibilities. Don't give reasons or speculate, and ask staff to respect privacy.
Who should send an employee departure announcement?
Usually the employee's manager. For senior departures, the executive they report to. Client notices come from the account owner or the new contact's manager.
Should a departure email say where the employee is going?
Only if the employee agrees. Some prefer not to share their next employer, and that's their choice.
Do I need to tell clients when an employee leaves?
Yes, for anyone with regular client contact. Send the notice once the new contact is ready, introduce them by name and offer a handover call.
