Candidate registration confirmation email

By TapTalent Editorial TeamUpdated

In short

An agency candidate registration email confirms that a job seeker has registered with a staffing agency, tells them who their recruiter is, what happens next and what they still need to complete before they can be placed. Below are four templates for professional and temp registrations, subject lines, an SMS version and notes on privacy and fees.

When to send it: Send it automatically within minutes of registration, then follow with a personal note from the assigned recruiter within one business day. For incomplete registrations, send a reminder after 24 hours and again after three days.

Why the registration email matters more than it looks

For a job seeker, registering with an agency often feels like dropping a resume into a void. The confirmation email is the first proof that a person is on the other end. For temp and light industrial desks, it's also where most candidates fall out: a branch might register 200 people a month and see only half finish onboarding. A clear email with the exact remaining steps, a link and a phone number recovers a meaningful share of those drop-offs.

The registration confirmation should do three jobs: name a real recruiter, set expectations for contact, and list any unfinished steps with links.

What to include

  • Who their recruiter is, by name, with a direct number.
  • What happens next and when, in numbered steps.
  • What's still missing, for incomplete profiles. A specific list beats “please complete your profile.”
  • Consent before submission. Promise you won't send their details to an employer without telling them first. For contract and IT roles, that promise is formalized later in a right to represent email for each job.
  • That the service is free, if it is. Many candidates have been burned by job scams that charge fees.
  • How to update their details, since stale availability is the main reason good temps get missed.

Collecting the missing details through mobile-friendly forms instead of attachments gets far better completion from hourly candidates, most of whom register on a phone.

Timing and follow-up

Send the automated confirmation immediately. Candidates who register with one agency usually register with two or three more the same day, so the first one to call wins. Aim for a recruiter call within one business day for in-demand profiles and within three for everyone else.

For incomplete registrations, a reminder at 24 hours and another at three days is enough; after that, add the person to a monthly job alert instead. When a temp completes onboarding and accepts a first shift, the next message is the temp assignment confirmation email with site, shift and pay details.

Keep the candidate's record current in a searchable candidate directory with availability and skills fields, so recruiters can find registered people when a rush order arrives instead of re-sourcing them.

A few points catch agencies out:

  • Fees. Several states license or regulate employment agencies, and some restrict charging fees to job seekers. If you charge nothing, say so.
  • Work authorization documents. Don't tell candidates which specific documents to bring for Form I-9. Under federal immigration law, employees choose from the list of acceptable documents, and asking for particular documents can be treated as unfair documentary practice.
  • Privacy. Link to your privacy notice. California residents have rights over their personal information under the CCPA as amended by the CPRA, and UK and EU candidates are covered by data protection law. Tell candidates how long you keep their data.
  • Texting. Get consent to text and include opt-out instructions. The Telephone Consumer Protection Act sets limits on automated texts to mobile numbers.

Rules vary by state and country, so review your template with counsel if you operate in several locations.

Tone and personalization

Write in plain language at a level any registrant can follow. Temp candidates read on phones, often between shifts, so lead with the next action and keep paragraphs to two lines. Use the recruiter's name as the sender, not “Recruitment Team.” For bilingual markets, send the email in the language the candidate registered in. A Spanish-language registrant getting an English-only welcome is a quiet, avoidable drop-off.

Mistakes to avoid

  • A no-reply sender address. Candidates reply with questions; make sure someone reads them.
  • Promising a call within 24 hours that never comes.
  • Asking for a Social Security number by email. Collect sensitive data only through a secure form.
  • Listing every policy in the welcome email. Link to them instead.
  • Generic job alerts before you've spoken to the candidate.

Frequently asked questions

What should a recruitment agency welcome email to candidates say?

It should name the candidate's recruiter, explain what happens next and when, list any unfinished registration steps with links, confirm the service is free, and promise not to share their details with employers without permission.

How do I write a thank you for registering with our agency email?

Thank them in one line, introduce their recruiter by name, give the next two or three steps with timeframes, and tell them how to update their details. Keep it short and readable on a phone.

When should a staffing agency follow up after a candidate registers?

Send an automated confirmation immediately and have a recruiter call within one to three business days. Remind incomplete registrants after 24 hours and again after three days.

Can a staffing agency ask candidates to bring specific ID documents?

For Form I-9, no. Candidates choose which acceptable documents to present. You can share the official list of acceptable documents and let the candidate decide.

Do candidates pay to register with a staffing agency?

Most US staffing agencies charge employers, not candidates, and some states restrict fees to job seekers. Say clearly in the registration email whether the service is free.
