Salary certificate letter
In short
A salary certificate is a signed letter on company letterhead confirming an employee's job, employment dates and pay, usually requested for a loan, lease, visa or credit card. This salary certificate format includes the letter, a pay breakdown, an employee consent line and HR checks before you sign it.

- Employee's signed request and consent is on file
- Name and ID number match HR records and the employee's identity document exactly
- Salary figures match the latest payroll run, not the offer letter
- Allowances listed are fixed and recurring; variable pay is described as not guaranteed
- Employment status is current (no notice period, pending termination or unpaid leave that should be disclosed if asked)
- Signatory is authorized to sign salary certificates
- Copy saved to the personnel file with the reference number
How to use this template
- Have the employee complete and sign the request section, naming the recipient and which pay details they want disclosed.
- Pull job title, joining date and every pay figure from the HR and payroll systems as of the most recent pay run.
- Fill in the letter, deleting the optional paragraphs and allowance lines that do not apply.
- Run the HR checks, then have an authorized signatory sign and, where your country expects it, stamp the letter.
- Give the letter to the employee or send it to the recipient as requested, and file a copy with the reference number.
- Answer verification calls only from the contact named in the letter, and confirm only what the letter states.
What a salary certificate is used for
Employees ask for a salary certificate when someone outside the company needs proof of income: a bank deciding on a car loan or mortgage, a landlord screening a lease, an embassy processing a visa, or a school assessing a fee waiver. In the Gulf states and South Asia the document is routine and banks often have a fixed format they expect to see. In the US the same request usually arrives as a salary verification letter or an income verification letter from employer, and many large employers route it through an automated verification service instead.
A salary certificate is narrower than an employment verification letter, which confirms employment and title and may leave out pay entirely. If the recipient only needs to know the person works for you, issue the verification letter and keep pay private.
What to include and why
Recipients look for five things: who the employee is, that they currently work for you, since when, how much they earn and who can confirm it. Use full legal names and an ID number that matches the employee's passport or national ID, because a mismatch is the most common reason a bank sends the letter back.
Break gross pay into components when the recipient expects it. Lenders in many countries treat basic salary differently from allowances, and some visa rules set thresholds on total monthly salary. Only list fixed, recurring amounts as salary. Bonuses, commissions and overtime should be described separately as variable, or left out, so the employer is not certifying income that may not continue.
If the employee recently received a raise, use the new figure only once it is effective in payroll. A salary increase letter dated for next month is not current salary.
Consent, privacy and accuracy
Pay is personal data. Get the employee's written request and consent before disclosing salary to anyone, and disclose only what they asked for. In the EU and UK, GDPR applies to the disclosure; elsewhere, national privacy laws and your own policy apply. In the US, state privacy laws can apply (California's CCPA has covered employee personal information since 2023), so follow your written policy and check the rules for each state where you employ people.
The letter must be accurate. An overstated salary can expose the company if a lender relies on it, and HR staff have faced disciplinary and legal consequences for issuing inflated certificates as a favor. The non-liability sentence in the template makes clear the company is confirming facts, not guaranteeing the employee's debt.
Handling requests at volume
In a workforce of several thousand, salary certificate requests can run to dozens a week, peaking before school terms and holiday travel. Put a request form in the HR portal, generate the letter from payroll data automatically, and let an HR officer review and sign rather than type each one. Set a turnaround standard, such as two business days, and publish it.
Keep a register of issued certificates with reference numbers. When a bank calls to verify, the HR contact can match the reference number and confirm the details in seconds, and the register makes forged certificates easy to spot. Store the signed request and a copy of the certificate in the personnel file; our employee file checklist shows where it belongs alongside other pay records. When an employee leaves, a former-employee request is usually better answered with an experience letter that confirms dates and role.
Common mistakes
- Copying salary from the offer letter rather than current payroll.
- Including variable pay as if it were fixed salary.
- Issuing a certificate to an employee who is serving notice without stating the end date when the recipient asks about status.
- Letting any manager sign; limit signing authority to HR or payroll.
- Sending salary details to a third party without the employee's written consent.
Frequently asked questions
What is the difference between a salary certificate and a salary verification letter?
They serve the same purpose. Salary certificate is the common term in the Middle East, India and parts of Europe; salary verification letter or income verification letter is more common in the US. Both confirm employment and pay on company letterhead.
Who signs a salary certificate?
An authorized HR or payroll officer, or a finance manager, according to your signing authority policy. Some countries and banks also expect a company stamp.
Should a salary confirmation letter show gross or net pay?
Show gross monthly salary as the standard figure, with a breakdown if requested. Add net pay only when the recipient asks for it, because deductions vary and can change month to month.
Can an employer refuse to give an income verification letter?
Rules vary by country. In many Gulf and Asian countries employers are expected to issue salary certificates on request. In the US there is generally no legal obligation, but most employers provide verification as a standard service under a written policy.
How long is a salary certificate valid?
The certificate itself does not expire, but most banks and embassies only accept one issued within the last 30 to 90 days, so employees usually need a fresh one for each application.
