Interview cancellation email
In short
An interview cancellation email tells a candidate that a scheduled interview will not go ahead, says why in a sentence, and makes clear what happens next: a new time, a pause, or the end of the process. Below are templates for an emergency cancellation, a position filled, a role on hold and a last-minute change.
When to send it: As soon as you know the interview cannot happen, and by phone or text as well if it is within 24 hours. Never let a candidate find out by arriving to an empty room or an unanswered video call.

Emergency, will reschedule
SubjectYour interview on [Date]: we need to reschedule
Hi [First Name], I'm sorry to do this at short notice, but we need to cancel your interview for [Job Title] on [Date] at [Time]. [Interviewer Name] has had a family emergency and is out of the office. We still very much want to meet you. Please choose a new time here: [Scheduling Link]. If none of those work, reply with a few times that do and I'll make it happen. If you had to take time off or arrange travel for this, I'm sorry for the hassle. [Optional: We'll reimburse any non-refundable travel costs; send me the receipt.] [Your Name] [Title], [Company] [Phone Number]

SubjectUpdate on your [Job Title] interview
Hi [First Name], I'm writing to cancel your interview for [Job Title] on [Date]. We've accepted an offer from another candidate for this position, and I didn't want you to spend time preparing for an interview that won't lead anywhere. I know this is disappointing, especially with the interview already booked. Your background in [specific skill or experience] stood out, and I'd like to keep your details on file for [similar roles / our next opening on the team]. If you'd rather I didn't, just let me know. Thanks for your interest in [Company]. [Your Name] [Title], [Company]
Role on hold
SubjectYour interview for [Job Title] is postponed
Hi [First Name], I have to cancel your interview for [Job Title] on [Date]. The role has been put on hold while [the team confirms its budget / the department reorganizes], and we don't want to interview for a position we can't yet fill. This has nothing to do with your application. If the role reopens, you'll be the first person I contact, and I'll update you either way by [Check-in Date]. Sorry for the disruption, [Your Name] [Company]

Cancel, reschedule or close
Before writing, decide which of three things you are doing, because the email reads very differently for each:
- Rescheduling. The interview will happen, just not at that time. Lead with the new options. Our interview reschedule email covers changes that are not cancellations.
- Pausing. The role is on hold or under review. Say so, say it is not about the candidate, and give a check-in date.
- Closing. The position is filled or cancelled. Say it clearly so the candidate can move on. For filled roles more broadly, the position filled email has variants for every stage.
The worst outcome is a vague note that leaves the candidate unsure whether they are still in the process.
Timing and channel
More than 24 hours before the interview, an email is enough. Inside 24 hours, call or text first, then send the email so there is a written record. If the interview was onsite and the candidate is likely already traveling, keep calling. Someone who drives 40 minutes to a building where nobody is expecting them will tell everyone they know.
Candidates often take unpaid time off or arrange childcare to attend. If they incurred costs because of your late cancellation, offering to cover reasonable travel expenses is a small gesture that changes how the story is told.
How much to say about the reason
One sentence is enough. "The interviewer has a family emergency" or "the role has been put on hold" tells the candidate what they need. You do not need to explain internal budget decisions or name the person who got the job.
If the position is filled, say so rather than inventing another reason. Candidates usually find out anyway, and a made-up excuse damages trust more than the truth. When you cancel because you have decided not to proceed with this particular candidate, do not disguise a rejection as a cancellation. Send a proper decline instead, and do it consistently for every candidate in the same position so your process stays fair.
Making rescheduling easy
When you cancel and want to rebook, give the candidate the power to choose. Two or three specific alternatives work; a self-scheduling link that shows real availability works better, because the candidate can rebook in one step instead of trading emails for two days.
Offer slots soon. If the original interview was Tuesday, the new options should be this week or early next, not two weeks out. A cancellation followed by a long gap looks like a soft rejection and candidates react accordingly.
Cancellations in high-volume hiring
When a whole session is cancelled, such as a group interview day or a hiring event, message every affected candidate by SMS and email at once, with a direct link to the next available session. Keep the text short and specific: what was cancelled, why in a few words, and how to rebook.
Track how many people rebook. If a third of candidates disappear after a cancelled session, that is a measurable cost and a reason to protect interview blocks on hiring managers' calendars.
Mistakes to avoid
- Cancelling by not showing up. Even a late text is better than nothing.
- Hiding a rejection in a cancellation. Candidates see through it.
- Copying the whole hiring team on a cancellation to an external candidate.
- No next step. Every cancellation should end with a new time, a check-in date or a clear close.
- Cancelling repeatedly. After two cancellations, a hiring manager should call the candidate personally.
Frequently asked questions
How do I cancel an interview with a candidate professionally?
Contact them as early as possible, apologize briefly, give a one-line reason and state the next step: a new time, a pause with a check-in date, or the end of the process. Call or text as well if the interview is within a day.
How do I cancel an interview because the position is filled?
Tell the candidate directly that another candidate has accepted the offer, thank them, mention what stood out about their background and ask if they would like to be considered for future roles.
What should an interview cancellation due to an emergency say?
Name the emergency in general terms, apologize for the short notice, confirm you still want to meet and offer new times or a scheduling link straight away.
Should I pay a candidate's travel costs if I cancel?
It is not usually required, but offering to cover reasonable non-refundable costs when you cancel at the last minute is good practice and protects your employer reputation.
Can I cancel an interview by text?
For short-notice changes, text is often the fastest way to reach someone. Follow it with an email so the details and next steps are in writing.
