Final interview invitation email
In short
A final interview invitation email invites a shortlisted candidate to the last round, explains who they will meet and for how long, sets out the format and logistics, and says when a decision will follow. Below are templates for an onsite final, a virtual panel, an HR round and a senior-level final, plus subject lines and an SMS.
When to send it: Within two business days of the previous round, while the candidate's interest is high. Offer slots no more than about a week out so the process does not stall at the last step.

What makes the final invitation different
By the final round the candidate has invested hours in your process, and you have invested in them. The invitation should reflect that. It needs more detail than a first-round invite: the names and titles of everyone they will meet, what each conversation covers, how long the whole thing takes and when a decision follows. Strong finalists are usually in other processes too, and the clarity of this email is part of how they judge you.
The last line about timing matters most. A candidate who knows a decision is coming by Thursday is far less likely to accept a competing offer on Tuesday than one who has no idea.
What to include
- Date, time and total duration, including breaks for multi-part onsites.
- Names and titles of interviewers. Candidates research them. Let them.
- Format of each part: conversation, case, presentation, work sample, tour.
- Logistics: address, parking, building entry, who to ask for, or the video link and platform.
- What to bring or prepare. If you expect a presentation, give the brief and the time limit at least three days ahead.
- Accommodation offer. One sentence inviting them to request accommodations, which supports ADA obligations in the US and is good practice anywhere.
- Decision timeline.
If this is a jump from an earlier stage, link back to how it differs from the second interview invitation so your sequence stays consistent across roles.
Scheduling the final round
Final rounds stall because three or four busy people need to be free at once. Two approaches work. Either block recurring interview slots on the panel's calendars in advance so the recruiter can offer real times immediately, or send a self-scheduling link that only shows windows where everyone is free.
Keep the gap from the previous round short. A week is reasonable; three weeks loses people. For multi-person onsites, put the hiring manager first or last, not in the middle, so the candidate leaves with a clear sense of who they would work for.
HR round versus panel final
In many organizations the final round is an HR interview that confirms compensation, start date, schedule, notice period and work authorization. In others the HR conversation happens earlier and the final is a panel or executive meeting. Say which one this is. A candidate who prepares for a deep technical panel and gets a benefits walk-through feels misled, and so does one who expects a chat and faces a case study.
Keep salary questions lawful. A growing number of US states and cities ban asking about salary history, so ask about expectations instead. Rules vary by location, so check before writing salary questions into an HR round script.
High-volume and hourly hiring
For agent, retail and warehouse roles the final step is often a short conversation with a site supervisor, sometimes on the same day as the first. Keep the invite short, mobile-friendly and sent by SMS as well as email. Offer slots within 48 hours. Every extra day between steps loses a share of hourly candidates to employers who hire faster.
If you run several finals a day, build the invite once with tokens for location and supervisor, and let candidates choose their own time.
After the final interview
Send a thank-you within a day, give the decision on the date you promised and, if it is a no, use a personal note rather than a form letter. Our rejection email after the final interview covers how to do that well. Finalists you turn down are often your best pipeline for the next opening.
Common mistakes: changing the panel without telling the candidate, forgetting to share the presentation brief, and inviting someone to a final round when the role is not yet approved.
Frequently asked questions
How do you invite a candidate to a final interview?
Send an email within two business days of the previous round with the date and time or a scheduling link, the total length, who they will meet, the format, logistics, what to prepare and when they will hear a decision.
What should a final round interview email include?
Interviewer names and titles, the format of each part, location or video details, anything to bring or prepare, an offer to request accommodations and the decision timeline.
What is an HR round interview email?
It invites the candidate to a conversation with HR, usually at the end of the process, covering start date, schedule, compensation expectations, benefits and policies. Tell the candidate it is mainly practical so they prepare the right way.
Does a final interview invitation mean you got the job?
No, and the email should not imply it. It means the candidate is on a short list. Being clear about how many finalists there are, if you can share it, sets fair expectations.
How far in advance should a final interview be scheduled?
Give at least two or three days' notice, and more if there is a presentation to prepare. Avoid scheduling more than a week or so out, because finalists often have other offers in progress.
