Job Brief

The Procurement Assistant plays a vital role in supporting the procurement process by compiling essential information and records to create purchase orders for materials and services. This position requires a detail-oriented individual with strong organizational skills and the ability to work collaboratively with various departments. The ideal candidate will possess experience in procurement or supply chain management and demonstrate proficiency in procurement software and tools.

Responsibilities

  • Compile and analyze data to prepare accurate purchase orders for required materials and services.
  • Assist in maintaining procurement records and databases to ensure data integrity and compliance.
  • Coordinate with suppliers to obtain quotes, negotiate prices, and track order statuses.
  • Monitor inventory levels and assist in the timely replenishment of supplies.
  • Support the procurement team in evaluating vendor performance and conducting market research.
  • Facilitate communication between internal departments and external vendors to streamline procurement processes.
  • Assist with the preparation of reports and presentations related to procurement metrics and forecasts.
  • Ensure adherence to procurement policies and procedures to maintain compliance and optimize purchasing efficiency.

Requirements

  • Associate’s degree in business, supply chain management, or a related field; bachelor’s degree preferred.
  • 1-2 years of experience in procurement, supply chain, or a similar role.
  • Proficiency in procurement software and Microsoft Office Suite, particularly Excel.
  • Strong analytical skills with the ability to interpret data and generate reports.
  • Excellent communication and interpersonal skills for effective vendor and team collaboration.
  • Detail-oriented with strong organizational and time management abilities.
  • Knowledge of procurement best practices and supply chain fundamentals.
  • Certifications in procurement (e.g., CIPS, APICS) are a plus.
