Job Brief

The Claims Correspondence Clerk is responsible for composing accurate and timely letters or electronic correspondence in response to customer inquiries regarding merchandise, damage claims, credit issues, delinquent accounts, incorrect billings, and unsatisfactory services. This role requires strong communication skills, attention to detail, and the ability to gather and analyze information to formulate appropriate replies. Ideal candidates will possess prior experience in customer service or administrative support, with a focus on claims processing and correspondence management.

Responsibilities

  • Compose and dispatch letters or electronic communications addressing customer inquiries about claims, billing discrepancies, and service issues.
  • Gather relevant data from various sources to formulate comprehensive and accurate responses.
  • Ensure all correspondence adheres to company policies and maintains a professional tone.
  • Review and analyze incoming requests for information, claims, and feedback to identify trends and areas for improvement.
  • Maintain organized records of correspondence and customer interactions for future reference and reporting.
  • Collaborate with internal departments to resolve complex claims issues and enhance customer satisfaction.
  • Stay updated on industry best practices and regulatory requirements related to claims processing and customer service.
  • Assist in training new clerks on correspondence protocols and company guidelines.

Requirements

  • High school diploma or equivalent; additional education in business or communications is a plus.
  • Proven experience in claims processing, customer service, or administrative support.
  • Strong written and verbal communication skills with a focus on clarity and professionalism.
  • Proficient in Microsoft Office Suite and customer relationship management (CRM) software.
  • Detail-oriented with excellent organizational skills and the ability to manage multiple tasks simultaneously.
  • Ability to work independently and collaboratively in a fast-paced environment.
