Job Brief

The Front Desk Receptionist serves as the first point of contact for visitors and clients, responsible for managing inquiries and providing essential information regarding the activities and services of the organization. This role requires excellent communication skills, organizational abilities, and a customer-focused approach. A successful Front Desk Receptionist will demonstrate proficiency in handling administrative tasks, managing multi-line phone systems, and ensuring a welcoming environment for all guests. Previous experience in a receptionist or customer service role is strongly preferred.

Responsibilities

  • Greet and welcome visitors, providing exceptional customer service.
  • Answer incoming calls and direct them to the appropriate departments or personnel.
  • Manage scheduling and appointment bookings for clients and staff.
  • Provide accurate information about the organization’s services, departments, and personnel.
  • Maintain a clean and organized front desk area to create a professional atmosphere.
  • Handle incoming and outgoing mail and packages efficiently.
  • Assist with administrative tasks, including data entry and filing.
  • Monitor visitor access and maintain security by following procedures.

Requirements

  • High school diploma or equivalent; additional certification in Office Administration is a plus.
  • Proven experience as a receptionist, front office representative, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Ability to work in a fast-paced environment and handle stressful situations calmly.
  • Customer service-oriented mindset with a professional demeanor.
