Job Brief

The Executive Assistant plays a critical role in providing high-level administrative support to executives and senior management. This position involves conducting research, preparing statistical reports, managing information requests, and performing routine administrative tasks such as drafting correspondence, welcoming visitors, scheduling meetings, and arranging conference calls. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Provide comprehensive administrative support to senior executives, ensuring efficient operations.
  • Conduct research and prepare detailed statistical reports to assist in decision-making processes.
  • Handle information requests, maintaining confidentiality and professionalism.
  • Prepare and draft correspondence, presentations, and reports.
  • Manage incoming communications, including phone calls and emails, with a focus on prioritization.
  • Schedule and coordinate meetings, ensuring all logistics are managed effectively.
  • Receive visitors and represent the executive office with professionalism and courtesy.
  • Arrange conference calls and video meetings, ensuring all technical aspects are addressed.
  • Train and supervise lower-level clerical staff as needed to ensure a cohesive team environment.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Experience in project management is a plus.
