Job Brief

The Conference Services Manager is responsible for coordinating all aspects of group meetings, events, and conventions. This role involves liaising with clients, event personnel, and various departments to ensure seamless execution of events. Responsibilities

  • Coordinate logistics for meetings, conferences, and special events, ensuring alignment with client expectations and requirements.
  • Develop and manage event budgets, monitor expenses, and ensure adherence to financial guidelines.
  • Serve as the primary point of contact for clients, providing exceptional customer service and support throughout the planning process.
  • Collaborate with vendors, suppliers, and staff to secure necessary resources and services for successful event execution.
  • Oversee on-site event management, ensuring all details are executed as planned and addressing any issues that arise.
  • Prepare and present event proposals and plans to clients, demonstrating a strong understanding of their needs and objectives.
  • Conduct post-event evaluations, gathering feedback to improve future event planning and execution.
  • Stay updated on industry trends and best practices to enhance service offerings and client satisfaction.

Requirements

  • Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or a related field.
  • Proven experience in conference services or event management, with a minimum of 3 years in a similar role.
  • Strong organizational skills and the ability to manage multiple tasks under tight deadlines.
  • Excellent communication and interpersonal skills, with a focus on client relations.
  • Proficiency in event management software and online collaboration tools.
  • Ability to work flexible hours, including evenings and weekends, as required by event schedules.
  • Strong problem-solving skills and the ability to adapt to changing circumstances.
  • Certifications in event planning or hospitality (e.g., CMP, CMM) are a plus.
