Job Brief

The Conference Planning Manager is responsible for coordinating all aspects of meetings, events, and conventions to ensure seamless execution and client satisfaction. This role requires a strong background in event management, project coordination, and exceptional organizational skills. The ideal candidate will possess proven experience in vendor negotiation, budget management, and logistics planning, combined with excellent communication abilities to liaise effectively with clients and stakeholders.

Responsibilities

  • Coordinate logistics for conferences, meetings, and special events, ensuring all aspects run smoothly and efficiently.
  • Work closely with clients to understand their needs and expectations, providing expert guidance on best practices for event planning.
  • Manage vendor relationships, including negotiating contracts and overseeing service delivery on-site.
  • Develop and maintain project timelines and budgets, ensuring all expenses are tracked and reported accurately.
  • Supervise event setup, including audio-visual requirements, catering services, and registration processes.
  • Conduct post-event evaluations to gather feedback and improve future planning processes.
  • Utilize event management software and tools to streamline planning, communication, and reporting.
  • Ensure compliance with health and safety regulations and company policies during all events.

Requirements

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field.
  • Minimum of 3-5 years of experience in conference planning or event management.
  • Proven track record of successfully planning and executing large-scale conferences and events.
  • Strong negotiation skills and experience managing vendor contracts.
  • Excellent organizational and multitasking abilities with a keen attention to detail.
  • Proficient in event management software and Microsoft Office Suite.
  • Exceptional verbal and written communication skills.
  • Ability to work flexible hours, including evenings and weekends, as needed.
