Job Brief
The Alumni Secretary plays a pivotal role in managing the administrative functions of alumni relations, ensuring effective communication and organization within the alumni network. This position requires an individual with strong organizational skills, attention to detail, and experience in administrative support. Key responsibilities include drafting correspondence, scheduling appointments, and maintaining both paper and electronic files. The ideal candidate will have excellent interpersonal skills and a proactive approach to providing information and assistance to alumni and other stakeholders.
Responsibilities
- Draft and prepare correspondence, reports, and presentations for alumni-related events and communications.
- Schedule and coordinate appointments, meetings, and events for alumni engagement initiatives.
- Organize and maintain both paper and electronic filing systems to ensure easy access to alumni information.
- Respond to inquiries from alumni, providing accurate information and support as needed.
- Assist in the planning and execution of alumni events, including reunions, networking events, and outreach programs.
- Maintain and update databases related to alumni contacts, engagement activities, and event participation.
- Collaborate with other departments to enhance alumni relations and improve communication strategies.
- Perform other administrative tasks as required to support alumni relations objectives.
Requirements
- Proven experience in an administrative support role, preferably within an educational or nonprofit environment.
- Strong proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and database management systems.
- Excellent written and verbal communication skills, with a focus on customer service and interpersonal relations.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Detail-oriented with strong organizational skills and the ability to maintain confidentiality.
- Familiarity with alumni relations practices and engagement strategies is a plus.
- High school diploma required; an associate degree or higher in a relevant field is preferred.
